Welcome emails are optional templated emails you may write that will be sent to new project members when they join the project.
Accessing the Welcome Email Tool
To access this page:
- Sign in to your GAP account by entering your Project Administrator username and password.
- On the navigation bar, hover your cursor over Project Admin and click Welcome Email on the drop-down menu.
OR
In the lower section of your GAP dashboard, in the Project Administration section, click Welcome Email.
You are directed to the Welcome Email Tool.
Controls
The Welcome Email tool contains the following controls:

- Save Email – Click to save any changes or additions you make to the Subject or Body of the email you write.
- Erase Email – Click this button to delete any changes or additions you have made to the Welcome Email.
- Note: This will note delete any text or changes previously saved to the Welcome Email.
- Subject – Enter the subject line of your email here.
- Body – Enter the text you would like to include in the email
- Note: If you are pasting copied text from another source such as Microsoft Word or a plain text document (another email, for example), before pasting it is important to first perform one of the following actions to prevent formatting issues:
- When you paste into the bulk email interface, right-click with your mouse and choose "Paste as plain text"

Click one of the clipboard icons on the dashboard of the bulk email interface. One has the Word symbol on it, one does not. If you composed in Word, click that one, if you composed in another program, click the blank clipboard.

Guidelines
The Welcome Email is an opportunity to introduce yourself, your fellow administrators, or information about the project. This can include member guidelines, requirements, research goals, and more.
Below is an example of a Welcome Email. You are welcome to modify it for your project:
Subject: Welcome to the Smith Surname Project
Body:
Hello,
Thank you for joining the Smith Surname Project. My name is Jane Smith. I am the lead administrator of the project. My email address is EXAMPLE@EXAMPLE.COM. If you have questions or concerns, I respond within one or two days. However, I do not check my email on Sunday.
I have been researching the Smith family and all spelling variants using traditional genealogy for twenty years. I started the Smith Surname Project five years ago to confirm my research and find new links between different lineages. The use of Y-DNA has completely changed our understanding of some branches!
So that the project co-administrators and I may help you, please send us your pedigree information. We will then guide you through adding it to your account and the project.
