Using the Admin - Join Authorization Tool

The Join Authorization tool allows you to review requests to join your project and to invite potential project participants to join your project.

Accessing the Join Authorization Tool

To access this page:

  1. Sign in to your GAP account by entering your Project Administrator username and password.
  2. On the navigation bar, hover your cursor over Project Admin and click Join Authorization on the drop-down menu.

    OR

    In the lower section of your GAP dashboard, in the Project Administration section, click Join Authorization.
    You are directed to the Join Authorization tool.

Uses of Join Authorization

Many group project administrators require Join Requests because they like to screen prospective project members. During the screening process, they are able to collect known genealogical information such as earliest known ancestor and geographic origins. Join authorizations have benefits as well as drawbacks, and you can read more about these here.

Controls and Columns

The Join Authorization tool has two main functions: Send Join Request and View Join Requests.

Send Join Request

Click the Send Join Request button to display the following fields:

    • Email Address – Enter the recipient's email in this field.
    • Copy To Project Administrator – Click this check box to send a copy of your email to the Group Administrator(s)
    • Your Note – Enter the text you would like to send to the recipient at this address.
    • Send Join Request – Click to send your email.

View Join Requests

Click the View Join Requests button to display the following Controls:

  • Message Per Page – This is the number of messages that will be displayed on each page of the join requests.
  • Read – Click this button to refresh the page to display the number of messages specified in the Messages Per Page field.
  • Message Type – Allows you to filter/search the table by message type.
  • Has Kit # – Click this button to display only messages listing a Kit # on the Kit # column.
  • Export Spreadsheet – Click to export the list of Join Requests to a spreadsheet.

Click the View Join Requests button to display the following Columns:

  • To – Lists the recipient of the message. This includes Join Requests sent to the project as well as responses sent by project administrators.
  • From – Lists the name of the person sending the join request. This can be the person who sent the request as indicated in the Your Name: field of the Project Request Form. This can also refer to the project administrator who sent the response.
  • Kit# – Lists the kit number of the person sending the join request if they are signed into their kit when sending the request.
  • Message Type – Indicates the type of message. This can refer to the join request or to the response to a join request by a project administrator.
  • Date Sent – Lists the date the message was sent.
  • Date Read – Lists the date and time the message was read.
  • To – Lists the recipient of the Join Request.
  • Read – Click this link to read the Join Request sent by the kit or individual requesting to join. The message will display at the bottom of the list of Join Requests. Clicking this button will display the following information:
  • View_Join_Auth_2 
    • Message – Displays the text of the Join Request sent by the applicant.
    • Reply – Click this button to display the following options:
      • Accept Request – Selecting this option will send any text you write in the text field below as well as an automated email with instructions to join the project.
      • Deny Request – Selecting this option will send any text you write in Your Note.
      • More Information – Selecting this option will send any text you write in Your Note.
  • Your Note – Enter the text you would like to send to the recipient at this address.
  • Send Join Request – Click to send your email.
